EcolMon Ltd recognises the importance of protecting people’s privacy and personal information. This document summarises the Privacy Policy of EcolMon with regard to the collection and processing of personal data.

Information we collect

EcolMon collects/may collect the following information related to individuals:

  • Company name
  • Contact name, mobile and/or landline number and email address, and links to online professional profiles (e.g. Linkedin)
  • Curriculum vitae provided by sub-consultants and sub-contractors
  • Protected species licences / licence references provided by sub-consultants and sub-contractors
  • Certificates and documentation provided by sub-consultants and sub-contractors to confirm suitable trained, certified, and/or experienced to undertake a task
  • Photographs / images that may include people who work with EcolMon

The above documents may include personal information such as home address and date of birth.

How the above information is used

We use your data primarily to carry out our consultancy services. The above information can be collected:

  • as background and contact information for clients;
  • as background and contact information for sub-contractors / sub-consultants of EcolMon Ltd; and
  • to confirm and evidence suitability of a sub-contractor / sub-consultant for a given task.

The above information will only be shared with third parties if permission is granted by the related person.

The information could be used to support tender applications and quotes for future work. However, the personal information above will only be included in a tender application or quote if prior permission from the relevant person has been obtained in advance, and only the information permitted by the individual will be shared.

We may also be required to share your information to:

  • IT service providers
  • Professional advisers including insurers, auditors, bankers and lawyers
  • Government officials if required to report financial / business processing activities

Personal information will not be used in marketing / advertising materials (including online portals such as Linkedin or the company website) unless the individual concerned has provided prior written / emailed consent.

Information security

We take reasonable steps to ensure your personal information is protected from misuse and loss and from unauthorised access, modification or disclosure. We may hold your information in either electronic or hard copy form. Personal information is destroyed or de-identified when no longer needed.

All sensitive data is stored on a password protected computer, smartphone and password protected online cloud platform. We use digital security software; however, as our online communications are linked to the internet, and the internet is inherently insecure, we cannot provide any assurance regarding the security of transmission of information you communicate to us online. We also cannot guarantee that the information you supply will not be intercepted while being transmitted over the internet. Accordingly, any personal information or other information which you transmit to us online is transmitted at your own risk.

EcolMon does not accept any liability in connection with other websites or links from other websites.

Ownership of copyright and trademarks of this site

All contents of this website and downloads from it are owned directly by EcolMon Ltd. Copies of content from this website may be taken as reasonable for private purposes. All other uses are strictly prohibited. You may not link this site to another website without our prior permission. You are responsible for obeying all applicable copyright laws.

How long will we keep your data?

Your personal information will only be kept for the period of time which is necessary for us to fulfil the above purposes. This can continue for multiple years depending on the contract length, duration of working relationship / potential relationship (i.e. for future contracts/tenders), or for no more than 6 years following the year of receipt.

Business transfers

The above restrictions on use and sharing of the data, and data subject rights will remain.

If you have a query or wish to issue a complaint, please contact us at the email above. We will treat your communications confidentially, will respond within a reasonable time after receipt and aim to resolve any requests and complaints in timely and appropriate manner.
